Office Coordinator

Main Function of Position:
Responsible for maintaining positive company communication with vendors and customers and processing all boat sale paperwork. The coordinator’s primary duty is to greet customers and vendors both in person and on the phone and make them feel welcome. Also, responsible for filing, daily deposits, special assignments, and miscellaneous duties.
Primary Duties:

  • Creates a welcoming environment by greeting guests, answering phone calls, directing visitors within the showroom, and taking messages for employees.
  • Takes customer complaints or issues and passes them on to the appropriate parties.
  • Creates and distributes company memos through email, letters, or telephone calls.
  • Schedules and maintains the calendar of company leadership.
  • Coordinates the booking and setting up of meeting rooms.
  • Organizes and files company documents either electronically or with a paper filing system.
  • Provide support for teams when necessary.
  • Process all boat sale paperwork, including titles, registration, and bills of sale, with attention to detail and compliance with legal requirements.
Work requirements:
  1. Prior office experience.
  2. Excellent customer service and communication skills to communicate with internal team members, customers, and vendors and understand their needs.
  3. A positive attitude toward greeting customers and vendors in a friendly and warm manner upon arrival at the showroom or through the phone.
  4. Ability to multi-task and prioritize work.
  5. Strong organizational and planning skills to keep multiple calendars organized.
  6. Proficient in Microsoft Word, Excel, other Windows-based programs, and office equipment.
  7. Flexibility to move between activities and duties quickly if priorities change.
  8. Operate Point of sale cash register.
  9. Attention to detail to ensure all company correspondence, both internally and externally, is free of any errors.
  10. Establish and maintain effective working relationships with management, coworkers, and customers.
  11. High school education or equivalent experience.
  12. Valid Driver’s license.
  13. Ability to work in the United States for any employer (required).
